From Excel & Co. to the ERP system

Thanks to Dynamics NAV, the company benefits from a user-friendly and scalable ERP solution with which all processes can be mapped (mostly in the standard version).

Our Project with

Based in Zurich, offers consulting, engineering, and integration services in the network, security, and cloud sectors. In addition to consulting, distributes, integrates, and operates network and security hardware as well as management solutions from selected strategic partners. The customers are companies from the ISP/Telco and enterprise segments, not only located in Switzerland and Austria but throughout Europe.

We implemented the ERP solution Dynamics NAV at the IT consulting company, contributing to a professionalization and optimization of their workflow.

Initial Situation

“Before deciding to implement a professional ERP solution, we organized and executed our work exclusively using Microsoft Word, Excel, and similar tools. Over time, we grew from a startup to a medium-sized company, so it eventually became necessary to switch to an ERP solution.

Thus, we began searching for an ERP solution that would cover processes from quotation to order confirmation, delivery note, and invoice – both on the sales side and the purchasing side.

In addition to standard functionalities, we had specific requirements such as complex time tracking, reporting, and invoicing, which are necessary for the consulting sector, which constitutes a significant part of our business.

Another part of our business involves selling hardware and reselling warranty services. Therefore, it was important for us to be able to handle recurring maintenance and warranty extension easily in the system. Regarding warranty periods, we proceed by requesting prices from the creditor(s) and passing them on to our customers.”

Challenges/Wishes at a Glance:

  1. Manual and time-consuming work with Word and Excel
  2. Desire for a user-friendly and practical ERP solution
  3. Mapping of commercial processes from quotation to invoice
  4. Mapping of complex time tracking, reporting, and invoicing
  5. Mapping of maintenance and warranty periods (including extensions)
Set Focus:

The Goal

“Our goal was to replace Word and Excel with a user-friendly, scalable, and practical ERP solution, enabling us to handle our daily tasks professionally.”

“Through an existing collaboration with Infosim in the network management sector, we became aware of Dynamics NAV, as the implementation of this ERP software represents another business area of the company. The solution immediately convinced us, and we knew from our previous collaboration that the employees are very competent and reliable. Therefore, looking for another partner company was out of the question for us.”

“As we started as a startup, we gradually transferred our processes and functions from Word, Excel, and Co. to Dynamics NAV. Our employees were informed in advance about the change. We prepared by creating a guide or documentation and defining a standby support window for our employees. Additionally, from the beginning, we maintained documentation in our internal wiki, where we stored functions and instructions. Change management (especially training) thus took place continuously and on the job.

Today, we map the majority of our core processes with the standard Dynamics NAV solution. That means:

  • Projects: Time tracking for our consulting department
  • Sales: Process from quotation to sales order, invoice to service order and contract (a service item is created from the article sold)
  • Purchasing: Process from purchase request to purchase order to invoice

Our special requirements were solved through individual adjustments: One of them was the adaptation of time tracking. Because for us, criteria such as billable hours, internally billable hours, and surcharges for weekends and evenings must be considered. It also needs to be possible to complete project tasks.

Furthermore, we can now easily handle our maintenance and warranty extensions directly in Dynamics NAV. Within this framework, we can also automatically import items and process serial numbers.

Finally, today we benefit from various popup fields. These display important information about the debtor, credit insurance, as well as warnings (e.g., engineer exceeds 50% of the time budget).

In summary, with this project or through ongoing collaboration, we were able to solve and implement all challenges and wishes in an agile format and very quickly.

Until today, we are firmly convinced that the decision for the system and our partner company was the right one. The price-performance ratio for Dynamics NAV and the individual adjustments is very balanced. Additionally, we now have a very reliable contact person at anaptis for technical matters and one for commercial matters. The collaboration is and has always been excellent, constructive, and goal-oriented.”

Improvements at a Glance:

  1. Replacement of Word and Excel with a modern, scalable, and practical ERP solution
  2. Mapping of standard commercial processes from quotation to invoice (sales and purchasing)
  3. Mapping of our complex time tracking, reporting, and invoicing
  4. Mapping of our maintenance and warranty periods (including extensions)
  5. Individualizations (e.g., editable delivery notes)
  6. Constructive and goal-oriented collaboration with a reliable partner company
“Until today, we are convinced that we made the right decision with Dynamics NAV and our partner. Overall, all our concerns could be addressed, and the collaboration is always constructive and goal-oriented.”
