„Before implementing Microsoft Dynamics 365 Business Central Online (Cloud) with anaptis GmbH, we worked with Cobus ERP3. Despite many years of successful collaboration, it became clear that a new ERP system was needed. The goal of replacing the old system was to increase efficiency, eliminate media disruptions, and consolidate all processes within a single system. Ultimately, we were convinced by the standard-oriented ERP system Dynamics 365 Business Central – especially due to the product’s future viability, its cloud-based architecture, and the seamless integration with other software solutions.“

„We began the process by launching a public tender in collaboration with FIR at RWTH Aachen University. FIR – short for “Forschung–Innovation–Realisierung” (Research–Innovation–Implementation) – is an institute dedicated to developing methods that enhance the competitiveness of small and medium-sized enterprises. Following this, we evaluated various ERP systems. Given our extensive use of SharePoint and Microsoft Teams, we quickly focused on Microsoft solutions due to our strong affinity for the Microsoft ecosystem.

Selection process with a clear goal: a standard-oriented ERP system
As the process continued, we shortlisted several providers offering solutions based on Microsoft Dynamics 365 Business Central. Some of these included industry-specific packages, but they didn’t fully convince us. It became clear early on that we were looking for a solution that stayed as close to the Microsoft standard as possible. Industry-specific customizations were therefore ruled out. We needed a package that offered both a strong price-performance ratio and the ability to work within the standard framework of the ERP system. After a joint workshop and process review – during which implementation ideas were developed with a focus on standard compliance – we chose anaptis. They were the only provider without an industry-specific package. What also impressed us was the constructive dialogue, their solution-oriented mindset, and their agile project methodology.“

Implementation: Business Central (Cloud)

„Before the implementation of Dynamics 365 Business Central Online (Cloud), the project named TEBIT365 was launched with three key contacts forming the so-called TEBIT365 core team. This team took on essential preparatory tasks, analyzed all processes in advance, and developed a clear target vision for us. This is how SMEs collaborate: planned, discussed, executed.

Efficient implementation through agile collaboration and stress testing
We began by assigning tasks to our internal key users based on their respective processes, followed by extensive testing. The collaboration with anaptis went very well. All parties agreed early on how they would work together and stuck to it transparently. The agile project methodology used by anaptis enabled quick reactions and actions, allowing feedback to be implemented immediately. Our employees were able to work in both the old and new systems in parallel for two months during a stress test, giving them the opportunity to learn both environments and gradually adapt to Dynamics 365 Business Central.

Successful remote implementation: Effective collaboration leads to a fast go-live
Apart from a few on-site appointments (such as the initial workshop and go-live support), the entire implementation was carried out remotely. The go-live timeline was even achieved two months ahead of the final schedule. We can proudly say that both sides contributed to this success: anaptis listened carefully to the valuable practical experience of our TEBIT core team and key users – and in return, we aligned ourselves with anaptis’ standard-oriented recommendations. The result is a practical and balanced solution.“

„Specifically, the core system Dynamics 365 Business Central was extended with new components and integrated with existing software solutions, including:

  • The etagis planning board (APS) for machine optimization and production control
  • An interface for quality management (existing CAQ system)
  • An interface for a labeling tool
  • A scanner solution to map warehouse processes directly in Dynamics 365 Business Central
  • A customization for batch purity and batch tracking, tailored to the needs of the medical technology sector
  • An external tool management system, that ensures our tool cabinets automatically restock used tools. Re-sharpened tools can now also be documented, saving both time and costs.
  • An external MDE/BDE system for capturing and processing machine and manual workstation data, as well as label printing, in order to feed production order data back into Dynamics 365 Business Central.
  • A SharePoint integration, allowing safety data sheets, production drawings, Business Central documents, etc. to be centrally stored in SharePoint, accessed from within Business Central, and sent automatically.
  • An intercompany process that eliminates the need to switch between tenants. anaptis developed an automation using working tenants, so that only the accounting team needs to operate across tenants, while production remains unaffected. The master tenant concept enables automatic invoice generation.
  • Additional Microsoft products such as Power Automate, which are cleverly integrated with Dynamics 365 Business Central, especially for implementing interfaces and workflows.“

„In summary, the implementation of Dynamics 365 Business Central represents a significant improvement over our previous software. All processes are now mapped within a single system – or more precisely, within the TEBIT365 ecosystem, with Dynamics 365 Business Central at its core – and it works! By switching to Dynamics 365 Business Central, we have successfully migrated our key core processes entirely to the cloud. This enables us to ensure the availability of our data and processes 365 days a year – while significantly increasing our overall efficiency. Improvements in logistics, production/procurement, and quality management have also played a key role in this success.“
