How It Was Before:

Initial Situation: Outdated System

“We previously worked with an older UK version of Dynamics 365 Business Central (Version 14). However, this version could no longer be maintained. The system had already experienced multiple outages and often needed to be restarted. The solution was therefore an upgrade to the latest Business Central version and a move to the cloud. The old ERP system was hosted on-premises with a database and connected to several systems. We had to ensure that all these scattered systems were integrated into Dynamics 365 Business Central.

At the same time, the existing interfaces from the upstream systems needed to remain functional. This included, for example, Continia Document Capture, a tool for document processing. The interfaces were the biggest challenge in migrating to the new environment because we have a large number of tenants.

Our Tesedi app also had to be upgraded. This mainly involved additional interface implementations as well as numerous custom fields and custom code. The upgrade to the latest Dynamics 365 Business Central Online version (Cloud) was intended to boost our performance, improve data availability, and map all processes in one system. Ultimately, the cloud migration to the new version convinced us, as we have been using Dynamics 365 Business Central for several years and are generally very Microsoft-oriented in our work approach.”

From that point on, our key users tested extensively following anaptis’ agile project methodology, and we booked training sessions for all employees at anaptis to properly prepare the entire team for the change process. Everyone pulled together, and our employees were highly motivated to complete the transition to the new version, even though it wasn’t equally easy for everyone.

The excellent collaboration with anaptis was particularly evident in solving our issue with database migration during the app upgrade. We encountered one or two minor problems, but thanks to our solid communication foundation and the ticket system, we resolved them quickly. Both sides went the extra mile, which required a high level of commitment and personal responsibility.”

“Specifically, the core system Dynamics 365 Business Central was supplemented with new components and existing software solutions, for example:

  • Continia Document Capture was expanded for the continued operation of the existing OCR document capture installation by three additional tenants (there are now seven tenants in total).
  • OPplus was introduced as a solution for payment transactions in Switzerland.
  • Continia Expense Management is being considered for expense handling.
  • A new solution is now being used for tax calculation in the USA.”

“In summary, the upgrade to Dynamics 365 Business Central (Cloud) represents a clear improvement with major advantages over our old software: All processes are mapped in one system, and our performance is significantly better. We now have time for what really matters because our system is faster and data is more readily available to our employees. Finally, we have a product with official support again. Unlike the on-premises setup, hosting is now handled by Microsoft, so we have fewer concerns in that regard.

Moreover, the cloud migration has opened the door for us to update and modify our entire IT landscape. We were able to integrate additional Microsoft products such as the Dynamics CRM solution, further accelerating our future projects.”
