Initial State: Local Server with high Maintenance Effort

“Before introducing Microsoft Dynamics 365 Business Central Online (Cloud) with anaptis GmbH, we worked with a software provider for sales and production. However, local servers require immense maintenance, and we encountered many issues after the implementation of updates. That’s why we needed a new ERP system. The goal of replacing the old system was to reduce maintenance efforts and simplify our daily work. Ultimately, we were convinced by the standards-based ERP system Dynamics 365 Business Central—especially due to the product’s future viability, the cloud solution, and the seamless integration with other common Microsoft 365 products such as Outlook, Excel, and Word.”

“At first, we researched providers offering new ERP system solutions online. Among them was a specialized industry solution, but it didn’t fully convince us. It quickly became clear that we needed a future-proof system that would be available anytime and anywhere. Additionally, one of our business partners was already familiar with Dynamics 365 Business Central in the cloud. After a joint discussion and the development of a concept, we ultimately chose anaptis. What convinced us was the strong, respectful communication on equal footing with everyone involved and anaptis’ solution-oriented mindset.”

Implementation: Business Central (Cloud)

“Before the implementation, extensive testing was carried out—using so-called sandboxes, which can also be described as development environments. This allowed us to get to know the ERP system through learning by doing. At the same time, the new system ran in parallel with the old one for an entire month, giving our employees the opportunity to familiarize themselves with it. The collaboration with anaptis was very smooth and constructive. Their agile project methodology enabled quick responses and actions through short communication paths, allowing feedback to be implemented directly and decisions to be made quickly.

Automated Processes Through Smart Integration

Anaptis integrated a DATEV interface for us and introduced Continia OPplus for payment transactions. Additionally, the Continia add-on Document Capture simplifies our work in order matching and booking purchase orders. This is particularly relevant for our production planning and assembly process—both in-house assembly and the external labeling of plant pots. In this process, an order is created, purchase orders are generated, print details are transmitted, and quantities are adjusted. The labeled pots are then returned to our warehouse. However, since some pots are rejected during the labeling process, bookings are reversed and order quantities must be adjusted. To address this, anaptis developed an assembly plan for us. Due to the labeling process, numerous variants of our plant pots are created. Our challenge is to represent this variety with as few items as possible—without unnecessarily expanding the item master. As a solution, anaptis recommended anaptis Configuration, which now also provides us with an assembly bill of materials.”
