Limitless Flexibility:

ERP Standard Solution instead of Rigid Industry Solution in the Biotech Sector

We have not committed to specific industries. Nevertheless, we now have a number of biotech customers and are very familiar with the challenges in this sector. What is our approach to ERP software for biotechnology companies? In short:

We always align ourselves with the standard ERP solution Dynamics 365 Business Central (formerly Dynamics NAV/Navision), which covers various departments, and we incorporate additional technologies such as Microsoft Office 365, the Microsoft Power Platform, Microsoft Copilot, as well as industry-specific add-ons. If necessary, we also program custom modifications for you. This significantly sets us apart from our competitors. Your system remains updatable and you are independent from the partner company. In our blog post “Standard ERP Solutions vs. Industry Solutions,” (German article) you will find a detailed comparison of the options.

ERP Software for Biotechnology:

Smart Features for ERP Software in the Biotechnology Sector

  • In the biotech industry, research and development come first. Nevertheless, production must proceed efficiently.

With Dynamics 365 Business Central, you have an ideal IT foundation. It enables you to manage cost calculations and bills of materials. You can also handle sample shipments through it. Various manufacturing methods can also be mapped.

The following customization is also possible and popular:

    • Document management (interface/add-on)

For professional document management, we offer an interface to third-party software (e.g., D3) or the fully integrated solution Document Capture. Manage documents anytime, anywhere.

With the Continia Document Output add-on, you gain a software solution for managing digital file outputs from Microsoft Dynamics 365 Business Central. The add-on saves you time and reduces your complex manual processes, helping you keep track of all sent and created documents.

  • The nature of goods in the biotech sector poses particular challenges for warehouse and batch management. Many special pieces of information must be recorded (e.g., cell tissue, ethnic origin). It is crucial to be able to track the entire flow of goods.

In Dynamics 365 Business Central, you can enable serial and batch management to track batches in detail within the company. This allows you to see which batch was used for which process, at what time, and under what conditions. With permission management, you can ensure that only authorized personnel can modify batch information. This way, you always benefit from real-time inventory data.

In the production and shipping process, it is, of course, possible to split and mix batches.

  • Shipping must comply with legal regulations (e.g., inclusion of certain documents). This also applies to customs clearance for international shipments. Additionally, smooth communication along the supply chain and digital interactions should be possible.

Dynamics 365 Business Central can greatly support you in warehousing, such as separating storage areas (e.g., cold storage).

The system may not support all aspects of logistics. Therefore, the following customizations are possible and popular:

    • Electronic data interchange (add-on)

With Anvaigo EDI (formerly Anveo EDI), you can easily exchange data

      • with your customers (e.g., orders, invoices, credit notes, delivery notifications, product data, availability, prices),
      • with partner companies (better business relationships through automated processes),
      • with manufacturing companies (e.g., order processing, confirmations, availability, or delivery notes), or
      • between locations/tenants (e.g., financial data and product information).
    • Supplier qualification (Power BI)

With Power BI, you can evaluate suppliers based on soft and hard criteria.

    • Perpetual inventory (customization)

Handling fixed-date inventories often closes business operations for hours or days, and external service companies are used for counting. This effort can be minimized with perpetual inventory. We offer a solution that can be used parallel to daily operations in Dynamics 365 Business Central (formerly Dynamics NAV/Navision). Inventory staff receive a personal stack of counting lists to be processed (exported from Dynamics 365 Business Central). After counting – for example, using a scanner – the data is recorded and transferred back to the standard Dynamics 365 Business Central.

    • Route planning (interface)

You can map route planning in Dynamics 365 Business Central. Assign individual items and sales lines to a vehicle, triggering picking and shipping from the route planning.

For optimal route planning, we implement an interface to software from a provider (e.g., Wanko). This allows you to optimize your routes, even across personnel.

    • Shipping processing and label creation (add-on)

For optimal shipping processing and label printing, we offer an interface to the Comsol Multiship add-on.

    • Shipping tracking via DPD, FedEx & Co. (interface)

For shipping tracking, we program an interface to a third-party provider (e.g., DPD, FedEx).

Preconfigured add-ons serve several service companies and require paper documents (e.g., invoice, delivery notes). Some companies prefer to work exclusively with one company (e.g., FedEx) and want to move away from paper-based work. We program an interface for you (e.g., to FedEx), allowing fully digital shipping.

    • Certification (customization)

Need to prove certain certifications via the delivery note? No problem. We modify the standard slightly to enable this function.

    • Customs processing (customization)

Deliveries from biotech companies to regions like the USA involve a lot of effort due to high regulations. Specifically, numerous documents must accompany each shipment. To avoid handling this manually and to remember all relevant documents, we program a custom solution that automates this process for you.

  • Quality comes first. Therefore, it is crucial in the biotech sector to comply with legal regulations, binding companies to regulations and quality and process controls. Dynamics 365 Business Central does not offer quality control functions.

However, the following customization is possible and popular:

  • Dynamics 365 Business Central offers extensive functions in invoicing, financial accounting, cost accounting, and reports to expedite financial closures. Additionally, the system automatically sends recommendations, such as taking advantage of discounts or avoiding late fees.

The following customizations are also possible and popular:

FAQs Everything Important about the Biotech Sector

  • How much does an ERP system for the Biotech Sector cost?

The costs of an ERP introduction are highly individual and vary from company to company because they depend on many factors (e.g., deployment method, requirements, number of users, current data quality, internal effort). For a cloud ERP solution, the subscription is decisive, and you pay monthly or annually per user. For a local installation/On-Premises version, there are one-time license costs (per user), an annual maintenance contract, as well as internal infrastructure and possibly personnel costs.

In our blog article “Kauf von ERP-Software: Wie Sie Ihr Budget definieren” (German article), we discuss how you can roughly estimate the budget for an ERP introduction.

Alternatively, if desired, there is the option to lease your ERP project with us. For example, you can work with our leasing partner MMV and pay off your investment amount through an attractive monthly rate.

  • How long does an ERP introduction take?

The duration of an ERP introduction varies from company to company. Different factors come into play, such as size and the proportion of individual requirements. Additionally, a distinction can be made between Cloud and On-Premises solutions (German article).

The deployment of the online solution takes only a few minutes. The setup duration of your On-Premises solution is longer due solely to the setup of the On-Premises (local) components, as the necessary server systems (database, application, etc.) need to be provisioned.

Furthermore, the following points are relevant:

    • Possibly, assistance during system introduction (highly individual)
    • Possibly, setup of the Microsoft 365 (formerly Office 365) environment: creating new user accounts or transferring/synchronizing local Active Directory accounts for easier management (highly individual)
    • Possibly, integration of extensions (highly individual)
  • How does an ERP introduction process work?

There are different methods of ERP introduction. Generally, a distinction is made between the waterfall model or an agile approach. We have developed our own agile methodology, which is a combination of both: Initially, we conduct high-level planning within 3-4 days (all necessary functionalities, project start, framework conditions). Detailed specifications and requirements documents are not needed.

Then, we proceed with the introduction in 4-week iterative phases or sprints. In each phase, we plan the sprint, conceptualize the tasks and budget, and execute them. At the end of each phase, the client must test the implementations and assess the quality. Only then does the next implementation phase begin. Any unfinished tasks are transferred to the next implementation phase. This process repeats in each of the implementation phases.

At the end, the implementations are compiled together. Subsequently, we train your team and allow them to thoroughly test the system before going live.

  • Is there a checklist for ERP introduction?

Yes, we do. In our download area you’ll find both a checklist for ERP selection and a whitepaper on ERP introduction from A to Z.

  • What are the reasons for the ERP software for biotechnology with anaptis?
